Marketing Assistant

An opportunity has arisen for an Italian-speaking Marketing Assistant to join our busy Marketing team.

The role will have a specific focus on trip co-ordination, events and customer/sales support as well as providing administrative support across the team as and when required.

Key responsibilities include:

- Trip Management: Working with Brand managers and Sales managers to coordinate and execute various group trips to visit wine suppliers. Running all trip logistics, itineraries and supplier liaison.

- Supplier Events: Working with the Events co-ordinator to share project management of Liberty Wines‘ organised events, supplier events and external trade events. 

- Sales & Customer Support: Providing support to the Sales team and their customers by producing training materials and tasting booklets.

- Generic Bodies Support: Working with Brand managers and fellow Marketing assistant to execute stock and information requests for all generic bodies.

- Customer Wine Lists & Point of Sale Materials: Supporting the Design co-ordinator to execute our Wine List design service for customers. Supporting the Warehouse & Shipping teams on POS stock management. Consulting with Brand managers and fellow Marketing assistant in sourcing POS from suppliers for promotions and ongoing customer requests.

Skills and experience:

- Language skills, especially Italian, are essential along with Intermediate Microsoft Excel and Publisher
- InDesign and Photoshop skills would be advantageous
- High level of attention to detail and accuracy

This role requires an individual who is organised, self-motivated and has plenty of initiative. An ability to multi-task, communicate and manage time and expectations is key.

Wine knowledge is not a pre-requisite but a willingness to learn is!

Salary & benefits:

Salary is dependent on experience with the following:

- Personal Bonus of up to 5% of basic salary based on performance against key objectives

Evening Customer Services Assistant

An opportunity has arisen for a Customer Services Assistant to process evening orders from our customers.

Many of our customers take advantage of our overnight ordering service for London and our Warehouse and Customer Services teams facilitate managing, processing and dispatching those orders. 

The Role:

Reporting directly to the Customer Services Manager, the successful candidate will be responsible for prioritising and processing emailed and answerphone orders received after office closing hours, dealing with any issues or queries appropriately. 

Skills & Experience:

- Reliable and conscientious with the ability to take ownership of issues
- Self-motivated with a positive ‘can do‘ attitude to all tasks
- Able to work under pressure and prioritise tasks
- Willing to go the extra mile to give customers great service
- Team oriented and able to build good working relationships
- Good problem solving skills with the ability to work things out logically

Previous experience of an order processing or customer services role is essential. Wine knowledge is not essential but a willingness to learn is.

Hours of work will be 3.30pm to Midnight Sunday to Thursday. However, for initial training, the hours will be 9.00am – 5.30pm, Monday to Friday.

Invoicing Assistant

An opportunity has arisen for an Invoicing Assistant to join us in January 2015.  This role requires an individual who is customer focused with a genuine willingness to help deliver exceptional customer service. 

Reporting to the Invoicing Manager, you will be responsible for the following:

Invoices
- Issuing customer invoices within agreed timescales
- Checking daily sales reports for pricing and margin discrepancies, investigating and resolving any issues
- Setting up customer special prices and discounts accurately
- Investigating and resolving invoice queries from customers and sales employees

Credit Notes
- Processing customer returns and other credit notes within agreed timescales
- Investigating errors, resolving them and identifying solutions to ensure they are not repeated
- Recording service failures accurately for management reporting
- Assist in managing inbound queries and responding to them within agreed timescales
- Liaise with the warehouse, customer service departments and external suppliers to resolve problems

Skills & experience:

- Excellent attention to detail and accuracy
- Able to investigate complex problems and see them through to resolution
- A confident communicator in person, by phone or by email with customers as well as having the ability to communicate effectively with other departments, and all levels within the business
- Able to work unsupervised, prioritise work and manage own workload
- Enthusiastic with a can-do attitude
- Strong IT skills with the ability to interrogate systems to find the information required
- Experience in a similar role, or an Accounts Payable/Receivable position would be an advantage
